Job Title: Program Admin Officer
Status: Temporary Full Time (8 weeks, 35hrs/wk)
Wage: $16.55/hr
Location: Onsite

Reports to: Executive Director

Job Summary

Working within a small team that supports the Program, the Program Admin Officer will support the Executive Director in program execution at Samaritan House Ottawa.

Responsibilities

  • Following established procedures, respond to e-mails and telephone calls, and record/report messages and data.

  • Logistics: respond to requests for supplies, oversee stores and replenishment of supplies, and process receipts and reimbursements as needed.

  • Data management: Process documents and information, organize and store files in an orderly manner, and generally oversee records management.

  • Support the ED in maintaining a healthy work environment for colleagues and ensuring that clients’ needs are met smoothly and efficiently.

  • Stakeholder engagement: support the ED in connecting with stakeholders of the organization, including the board, partner agencies, donors, vendors, clients, and staff.

  • Support the ED in planning and executing Board meetings, including scheduling, taking minutes, and writing reports.

  • Organize and participate in team meetings.

  • Direct Support: The job may sometimes necessitate working directly with refugees new to Canada (filling in whenever there are gaps).

  • Perform any other duties assigned by their supervisor.

The ideal candidate will have:

  • Experience in Office Administration or other related disciplines.

  • Excellent computer skills, including proficiency in MS Office.

  • Good command of the English language (verbal and written). Fluency in French and other languages is an asset.

  • Excellent interpersonal skills

  • Good organizational skills

  • Ability to work independently but also thrive in a team environment.

  • Excellent analytical and problem-solving skills.

  • Police records Check (Level C- Vulnerability Sector Check).

  • Youth with a lived experience of a refugee claimant, those who are indigenous, black and other racialized and marginalized youth are encouraged to apply. 

Work Conditions

The successful candidate will work in person during regular office hours. This is not a remote work position.
